GENERAL SERVICE CONDITIONS
SPECIAL NOTE: Due to currency fluctuations please note that all prices quoted are valid only at the time of printing and are subject to change without prior notice. Once full payment / credit in our bank account and issuance of relevant documentation at the time of payment will guarantee prices. We regret any inconvenience, but unfortunately Adventura Tours & Travel cannot in any way be held responsible.
PAYMENT STRUCTURE / CONFIRMATION
A deposit of 25% of tour cost is payable at time of confirmation of services and the balance is payable not less than 60 days prior to commencement of services. Confirmation will be in writing upon receipt of the required deposit / tour cost. Adventura Tours & Travel reserves the right to cancel any reservations for which the total tour cost has not been paid by due date. In which event the deposit will be forfeited to the Company. Reservations will only be considered as firm bookings completed, in full and signed.
Special Peak Period Payment Policy applies for travel between 15 December & 15 January. Full payment would be required by no later than 60 days prior to commencement of services. Specialised bookings, such as Blue Train, Rovos Rail, Jet flights, etc., would also be subject to the Special Peak Period Payment Policy.
When making payments please consider currency fluctuations, bank delays in transmitting funds into our bank account and bank commissions when transmitting by bank cheque, draft, telegraphic or electronic transfers. Please note that Adventura Tours & Travel does not extend Credit Accounts and Credit Card Payments.
DELAYS
Adventura Tours & Travel does not hold itself responsible, nor can it be held responsible for any delayed flights or rescheduling or flights or any other event beyond our control, prior to and / or during the course of any holiday mentioned, whether it be brought by technical difficulties, strikes, weather conditions or any other circumstances whatsoever, whether foreseen or un-foreseen. It’s understood that any expenses relating to these unscheduled extensions (e.g. hotels, meals, telephone calls, etc.) will be for the client’s account.
AIR TRANSPORTATION
The carrier concerned is not to be held liable for any act, omission or event during which time the passenger is not on board the aircraft of conveyance. The passenger’s ticket in use by the airline concerned when issued shall constitute the sole contract between the airline concerned and the purchaser of these tours and / or the passenger. Airfares are based on tariffs set out by the airlines and are subject to change.
UNUSED SERVICES
No refund will be considered for any unused services irrespective of whether they form part of the basic inclusive holiday price, whether they are in respect of pre-booked optional arrangements.
INSURANCE
The onus lies upon the client to obtain the necessary cover to protect them against cancellation, loss, theft, injury, accident and medical expenses and is strongly recommended since Adventura Tours & Travel, its employees and / or agents will not accept responsibility for any kind of injury, losses or expenses incurred.
PASSPORTS, VISAS AND HEALTH REQUIREMENTS
It is the responsibility of the client to ensure he / she is in possession of valid documentation, i.e. a valid passport, visa / s, re-entry permit and health certificates / requirements before departure. The Company does not accept responsibility for any consequences whatsoever arising from a passenger failing to ensure that he or she has complied with the necessary health, passport and visa requirements,
HOTEL CHECK-IN / CHECK-OUT
Hotels will endeavour to accommodate guests for an earlier check-in time if required but it is dependent on availability of rooms. Check-in times vary between countries. The following times should be used as guidelines. Check-in: 14:00 / Check-out: 10:00
HOTEL ROOMING LISTS
Hotels require rooming lists at least 30 days prior to group’s arrival. Failure to submit rooming lists may result in all reservations being cancelled automatically unless prior arrangements have been made with the hotel concerned.
SPECIAL REQUESTS
Please specify any special requests you may have at the time you make your booking. We accept special requests on the understanding that whilst we will make every effort to comply, under no circumstances can we guarantee that we will be able to meet them.
CANCELLATIONS
Cancellation charges are subject to regulations of the air and coach operator, hotel proprietor any other principles involved. The Company reserves the right to claim all or a portion of the fares paid by the passenger who cancels reservations. Cancellations more than 90 days prior to departure are subject to the cancellation policy and penalties levied by overseas principles. The following cancellation charges will be levied if cancellations are made 90 days and less, prior to departure:
90 days or more - deposit forfeited
89 – 45 days prior to departure - deposit + 30% of tour cost
44 or less days prior to departure - deposit + 75% of tour cost
REFUNDS
No refund can be made for tours, meals, sightseeing, transfers, accommodation or other services included in your tour, which, for reason of illness or otherwise, were not utilised unless we are able to obtain any leniencies on cancellation policies from service suppliers.
