Kitonga tours, Booking Terms, and Conditions
Kitonga Tours and Safaris is hereinafter referred to as ‘the tour Company’ and accepts bookings subject to the terms and conditions outlined herein.
The Booking Terms and Conditions.
Bookings and ensuing contracts shall be deemed to have been concluded in Kilimanjaro/Iringa, Tanzania, and shall be interpreted according to the laws of the United Republic of Tanzania. The Company reserves the right to decline any booking without outlining the reasons for doing it.
All travelers receive pre-trip information, a complete itinerary, and on-demand pre-travel advice, via email or directly with our offices for any last-minute or personal queries.
If a particular accommodation is unavailable upon booking, accommodation of a similar or higher standard will be substituted.
PAYMENTs & DEPOSITs
For a reservation to be held on any itinerary, a deposit of 45% per person per itinerary is required. The balances of payments are due 60 days before arrival in Tanzania. This deposit forms part of the payment for the trip and shall be counterbalanced to the total amount charged to the client/agent.
If the full amount is not paid at least 40 days before departure day, the Company reserves the right to treat the booking as canceled and the deposit shall not be refunded. Clients/Agents booking within 40 days of tour departure are required to pay the full amount immediately to save the reservation.
That, all bank charges are to be settled by the client or agent respectively. This includes transaction fees charged by our bank. The amount shown on the invoice is the amount that needs to reflect in our account and should bank charges have been deducted, we would have to invoice you afterward.
BOOKING AMENDMENTS
For amendments of existing bookings done by the client/ agent (e.g. departure dates, air tickets, accommodation, number of participants, etc.) a handling fee of 70 USD per booking applies. The handling fee will be charged in addition to the service provider fees.
CANCELLATIONS
Once the booking is confirmed, terms and conditions will be applied.
The Terms are: We will require 50% Payment as a deposit at the time of booking, and a balance 45 days before arrival. Last-minute bookings will require full payment in advance.
Once a booking is confirmed, cancellation charges will apply 0-60 days is 100%, 61-90 Days is 50% and 91-120 Days is 25% of the total.
The government may increase park fees at any time and you will be liable to pay for the difference.
Cancellations must be sent in writing to the office that confirmed the reservation. Cancellations shall only be effective from the date of receipt of cancellation by the booking office. In case of a booking cancellation, the Company shall retain the full deposit.
Kitonga Tours and Safaris is entitled to act as an agent or principal concerning the provision of the services.
If a booking is canceled the client is subject to a cancellation fee as follows:
0 - 60 days or more notice 75 percent of the Total Booking Cost shall be refunded.
59 – 40 days notice 50 percent of the Total Bank Cost shall be refunded
39 – 30 days notice 25 percent of the Total Bank Cost shall be refunded
29 – days or less notice given no refund of the Total Bank Cost shall be made.
All changes in trekking Itineraries are free of charge until 30 days before departure, and the handling fee of $120 per group will be added for any changes done 30 and 10 days before departure, with no changes between 10 and 0 days. For the safari itineraries, a handling fee of $70 per person will apply to any changes done after a reservation has been made.
The Company reserves the right to cancel any tour at its sole and absolute discretion, without prior notification in instances where this is unavoidable. However, in that case, the Company agrees to refund all monies already paid by the client. This shall be the Company´s sole responsibility to the client and no claim for any damages, howsoever arising, shall accrue against the company.
PASSPORTS, VISAS, AND OTHER TRAVEL PAPERS
We will require Passport copy(s) at the time of booking for park fees/air tickets purposes.
Electronic Visa Information for Tanzania
A new electronic visa service (December 2018) has been recently been implemented by the Tanzanian immigration services and travelers are urged to apply through this convenient process.

As of now, visa on arrival services are available, however, will be soon replaced with an electronic visa requirement as the government aims to completely digitize the visa application procedure shortly. Kindly enter a link into your internet browser to apply for an electronic visa
Therefore, it is the client´s sole responsibility to ensure that passports, visas, health certificates, proof of vaccinations, and any other documentation required are all for the countries to be visited.
The Company cannot be held responsible for any consequences, damages, or claims if the client does not attend correctly to the client´s documentation and related matters before commencing the tour.
Passenger Information/ Baggage
Passengers should bring only soft-sided bags on safaris.
All the passengers must have an Identification Card/Passport with them for internal flights.
Baggage on internal flights is strictly limited to 15kgs per person (including hand luggage).
Any excess baggage will be charged by the airline at check-in.
Passengers arriving in Tanzania may be asked to present a valid Yellow Fever Vaccination Certificate.
Light Aircraft operate on Domestic routes are normally have several stops before reaching the destination. Baggage Dimensions required in Light aircraft are 30 x 15 x 14 in | 76 x 38 x 36 cm
Therefore at any time, all baggage and personal effects are at the client’s responsibility and the Company does not accept any liability for any loss or damage of any personal effects, howsoever arising. Clients are entitled to one bag of not more than 15 kg (backpack or soft bag – no hardtop suitcase) and a daypack.
The Company reserves the right to refuse excess baggage. Please notice that other baggage regulations may apply on our trekking tours and some “bush” flights.
RISK
The client accepts that all tours are of an adventurous nature and involve an element of personal risk. Neither the Company nor any of its agents can be held responsible in any way for any injury, loss of life, or property damage, howsoever caused. The client hereby indemnifies the Company and will hold the Company, its agent, assigns, and servants harmless from any such claim. The client accepts full responsibility for all risks involved.
POWER ON TOURS AND SAFARIS
The decisions of the Company´s guide/driver/staff assigned on tour shall at all times be final and binding. The client must at all times comply with the laws, customs and foreign exchange regulations of all countries visited.
MARKETING AND ADVITISMENT
Kitonga Tours and Safaris Company reserves the right to use any photographs and videos taken during tours for marketing or any other advertising materials. The client hereby permits to use of such photographs and authorizes the Company to retain the copyright for these photographs and such materials.
FORCE MAJEURE (Unforeseen circumstances)
Unforeseen circumstances including but not limited to war, mechanical breakdowns, weather, riots, and other unforeseen reasons beyond the control of the Company may cause delays or alterations to the tour. The Company shall not be held responsible in any way for any of these possible occurrences or any consequences, which may arise as a result of these.
PRICE CHANGES
While on tour all costs stated in the itinerary will limit as follows.
The cost will include, Pickup & drop off Dar es Salaam/Kilimanjaro/ place agreed, Private game drives., Services of an experienced English speaking driver guide., Accommodations & meals as stated or as per itinerary shared with our guests.
Cost will exclude: - Visa/Travel/medical/ baggage insurance. Accommodation in Dar es Salaam, Driver guides gratuities, Drinks/laundry (unless specified).
We may have to reroute the itinerary or accommodate similar lodges in case of non-availability.
Prices for domestic flights, Airport and Government taxes or park fees, permits, and concession fees may be changed without prior notice. This is beyond our control and any increase levied will be passed to you. To qualify for the low season rates, the tour must start and finish within the specified dates.
All our prices are based on the current national park fees and taxes. There have been continuing talks that East African countries will be changing to tax regulations in 2014. Should the authorities decide on increasing fees and taxes, even though they might currently not be scheduled, we would afterward have to pass on these increases.
