Confirming a tour with Deluxe Vacations Uganda Ltd guarantees that you have read, understood and accepted our terms and conditions described below:

Bookings:

After confirmation of a Safari, the client must inform Deluxe Vacations Uganda of any special requests of the tour participants i.e; Medical needs, diet requirements, physical abilities, and the like.
All Tour Packages are subject to availability and not guaranteed until confirmed by our reservations team. It is therefore essential to make reservations well in advance because most of the accommodation properties we work with have limited capacity.
Deluxe Vacations Uganda reserves the right to re-adjust the services indicated in the itinerary in the event of unforeseen circumstances before arrival and this will be communicated before any change is made.
Deluxe Vacations Uganda enters into agreements on your behalf with service providers of your safari requirements such as lodges, Gorilla and Chimpanzee permits, Park entry fees etc. and their terms and conditions shall be applicable to you once you deposit and confirm your tour since their terms and conditions are beyond our control.
Payment Policy

Upon confirmation of a tour, a 15% deposit of the basic ground quote is required to secure your booking and make necessary preparations. The remaining 85% of the ground quote must be paid 30 days before the tour's start date to guarantee its commencement. For gorilla permits, 100% of the total permit price is required at the time of booking.
Payments can be made via bank transfer, Visa card, or in cash prior to the start of the tour.
Bookings made within 45 days of the tour's start date must be fully paid at the time of confirmation.
If payment is not received in accordance with these terms, Deluxe Vacations Uganda reserves the right to withhold the commencement of the safari until full payment is received.
Cancellations and Refunds:

You may cancel your tour at any time prior to departure due to unavoidable circumstances. To process a cancellation, please submit your request in writing. The effective date for our cancellation policy will be the date we receive your written request at Deluxe Vacations Uganda.

We regret that no refunds will be provided for any expenses, costs, or losses incurred as a result of cancellations or rescheduling. Any such costs, including those charged by our service providers, will be deducted from the client's initial deposit.
Refunds will be issued as follows based on the date of cancellation relative to the tour's departure date:
60 Days and above Prior to Departure: 85% of the Total amount refunded
59 to 30 days prior to Departure: 70% of the total amount refunded
29 to 15 Days prior to departure: 40% of the total amount refunded
14 to 0 Days prior to departure: 10% of the total amount refunded
Insurance:

We recommend all our guests to have travel insurance that covers any form of sickness, personal injuries, or for cancellations.
Service Quality and Feedback Policy

Deluxe Vacations Uganda is committed to exceeding client expectations in every aspect of tour arrangements. We highly value suggestions from our guests as they help us continuously improve the quality of our services.
During each tour, our guide will provide guests with a Guest Evaluation Form to record their observations, highlight strong points, and identify areas for improvement. This feedback is crucial for us to evaluate and enhance our tours.
Should any urgent complaints arise, they must be reported immediately to your guide, who is also a representative of Deluxe Vacations Uganda. The guide will promptly address the issue in consultation with our head office to ensure a swift resolution.
