Mulunde Expeditions - Terms & Conditions
1. Booking & Reservations
1.1 A deposit of 30% of the total tour cost is required to confirm your booking.
1.2 Full payment must be received at least 30 days before the tour departure date.
1.3 Bookings made within 30 days of departure require full payment at the time of booking.
1.4 All payments should be made through the approved payment methods provided by Mulunde Expeditions.
2. Cancellation Policy
2.1 Cancellations must be made in writing via email or formal letter.
2.2 Cancellations made more than 60 days before departure will incur a 10% cancellation fee of the total tour cost.
2.3 Cancellations made between 30-60 days before departure will incur a 30% cancellation fee of the total tour cost.
2.4 Cancellations made less than 30 days before departure will incur a 100% cancellation fee (no refund).
2.5 No refunds will be made for any unused services or portions of the tour.
3. Alteration of Tour
3.1 Mulunde Expeditions reserves the right to alter the tour itinerary due to unforeseen circumstances, including but not limited to weather conditions, political instability, or other factors beyond our control.
3.2 Any changes to the itinerary will be communicated as soon as possible, and alternative arrangements will be made where necessary.
4. Travel Insurance
4.1 All clients are required to have comprehensive travel insurance covering medical expenses, personal liability, cancellation, curtailment, and loss of luggage or personal belongings.
4.2 Mulunde Expeditions will not be liable for any costs or losses incurred due to a lack of adequate insurance coverage.
5. Health & Safety
5.1 Clients are responsible for ensuring they are in good health and physically fit to undertake the tour.
5.2 It is the client’s responsibility to seek medical advice on vaccinations and other health precautions necessary for travel to the specific destination.
5.3 Mulunde Expeditions will not be held liable for any illness, injury, or death occurring during the tour.
6. Liability & Responsibility
6.1 Mulunde Expeditions acts as an agent for transport companies, hotels, and other service providers; therefore, we are not liable for any loss, damage, delay, or accident caused by third-party providers.
6.2 Mulunde Expeditions is not liable for any loss or damage to personal property or for any injury or death occurring during the tour unless caused by our proven negligence.
7. Visas & Passports
7.1 Clients are responsible for obtaining and carrying the necessary visas, passports, and other travel documents required for their destination.
7.2 Mulunde Expeditions will not be held responsible for any issues arising from the failure to have the correct travel documents.
8. Luggage Allowance
8.1 Clients are advised to travel light due to space limitations in safari vehicles.
8.2 Mulunde Expeditions is not responsible for any excess baggage charges incurred.
9. Accommodation
9.1 Accommodation is based on twin or double rooms unless specified otherwise.
9.2 Single room supplements may apply for those requiring single occupancy.
9.3 Mulunde Expeditions reserves the right to substitute accommodations with those of a similar standard if the specified accommodations are unavailable.
10. Meals & Beverages
10.1 Meals are provided as specified in the itinerary. Any special dietary requirements must be communicated at the time of booking.
10.2 Beverages (alcoholic and non-alcoholic) are not included unless explicitly stated in the itinerary.
11. Special Requests
11.1 Special requests (e.g., dietary, room location) should be communicated at the time of booking. While Mulunde Expeditions will endeavor to fulfill these requests, they cannot be guaranteed.
12. Complaints & Dispute Resolution
12.1 Any complaints must be reported to the tour guide or representative of Mulunde Expeditions as soon as possible during the tour.
12.2 If a complaint cannot be resolved on the spot, it should be submitted in writing within 14 days of the tour's conclusion.
12.3 Mulunde Expeditions will work to resolve disputes amicably but reserves the right to refer unresolved disputes to arbitration.
13. Governing Law
13.1 These terms and conditions shall be governed by and construed in accordance with the laws of the country in which Mulunde Expeditions is registered.
13.2 Any legal action or proceedings relating to the tour or these terms and conditions shall be brought in the competent courts of that jurisdiction.
14. Force Majeure
14.1 Mulunde Expeditions will not be liable for any failure to perform its obligations where such failure is due to circumstances beyond its reasonable control, including but not limited to acts of God, war, strikes, pandemics, or government restrictions.
15. Marketing & Photography
15.1 Mulunde Expeditions reserves the right to use any photographs or videos taken during the tour for promotional or marketing purposes, unless otherwise requested by the client in writing before the tour commences.
